B’nai Shalom of Olney (BSO) is an egalitarian, conservative Jewish congregation located in north-central Montgomery County, Maryland. BSO serves as a community hub for religious services and holiday events, as well as home to many social groups and educational programs. We are a multi-generational community that strives to make Judaism accessible, inclusive, and relevant. BSO is seeking an Administrative Assistant to assist our Staff, Clergy, School Directors, and lay leaders to help ensure smooth operations at BSO. This position provides individualized customer service to the synagogue’s membership, visitors, Board of Officers and Trustees and vendors. A friendly and welcoming demeanor as well as a professional appearance is necessary. The Synagogue operation is fast paced, and requires the ability to multitask while remaining organized, with a calm and responsive presence. The position is the central gatekeeper to the various synagogue departments and is responsible for engaging with the congregation and the public in a warm and inviting manner. 

Job Summary: 

The Administrative Assistant is responsible for manning the front office and being the initial interface for congregant, visitor, vendor, and staff needs.  The Administrative Assistant is also responsible for BSO office upkeep, assisting in sending out communications and helping with event preparations.  

Principle duties: 

  • Answering synagogue main phone line 
  • Greeting visitors, including handling deliveries, vendors, etc. 
  • Maintaining office equipment and cleanliness 
  • Office inventory/supplies ordering 
  • BSO Kitchen inventory/supplies ordering/Kiddush ordering 
  • Mail distribution, as well as creating/sending notices and announcements by mail and email 
  • Shabbat and B’nai Mitzvah weekend preparations in the synagogue 
  • Compiling Shabbat bulletin, inserts and preparing them for the services 
  • Assists in maintaining membership records, synagogue files (online and hard copy files) 
  • Maintaining/Updating Office calendar 
  • Acquire material for the weekly online newsletter 
  • At busier holiday times: assisting with logistics, preparing materials needed for holidays and events, sanctuary set up as needed; assumes tasks to coordinate the needs of high holidays and lifecycle events 

Qualifications:  

A successful candidate will be able to: 

  • Work collaboratively with members of the congregation, volunteers and staff 
  • Demonstrate computer literacy and competence with website upkeep, social media, Microsoft Office and Shulcloud (will train) 
  • Demonstrate excellent communication skills through written, oral, and electronic means 
  • Demonstrate strong organizational and multitasking skills 
  • Maintain discretion, confidentiality and professionalism at all times 
  • A minimum of two (2) years of relevant office or administrative experience preferred 

 

Salary50,000.00 - 55,000.00 Annual
