The Manager of Executive Affairs will be a strategic partner to the CEO of The Jewish Federation of Broward County, playing a critical role in supporting the CEO during an exciting phase of growth and realignment of the organization’s goals and leadership. This individual will combine executive administrative support with strategic operational oversight, ensuring the smooth execution of organizational priorities. This person will be highly organized, proactive, and possess a blend of innovation, passion, professionalism, and leadership, all while driving efficiency and accountability.

The Manager of Executive Affairs will report directly to the CEO, ensuring that the CEO’s time is optimized, key projects are executed on time, and cross-departmental coordination occurs seamlessly. Executive Support & CEO Partnership:

  • Manage the CEO’s calendar, prioritizing meetings with donors, stakeholders, and colleagues to align with organizational priorities. Proactively resolve scheduling conflicts, ensuring all relevant materials are prepared for each meeting.
  • Coordinate meetings led by the CEO, set clear agendas, track action items, and follow up to ensure accountability. Serve as a key point of contact for stakeholders, representing the CEO professionally and ensuring seamless communication.
  • Assess and prioritize the CEO’s time, ensuring focus on high-impact tasks and strategic initiatives that align with organizational goals. Direct the CEO’s attention to areas requiring their leadership and involvement, ensuring alignment with key priorities and timely follow-up.
  • Oversee and manage communications on behalf of the CEO, ensuring messaging is clear, consistent, and aligned with the Federation's mission and strategic objectives. Partner with the Communications team to ensure consistency across internal and external messaging. Act as a forward-facing representative, engaging with key stakeholders and ensuring the CEO’s presence is effectively communicated and aligned with organizational priorities.
  • Lead key special projects and initiatives assigned by the CEO, ensuring successful execution and alignment with organizational goals. Organize and manage logistics for key events, including Board meetings, staff retreats, and community outreach initiatives, ensuring all objectives are met and the CEO’s involvement is maximized.
  • Manage the CEO’s travel arrangements, including itineraries and accommodations, ensuring logistics align with the CEO’s priorities. Serve as a liaison between the CEO and staff, ensuring alignment on organizational initiatives and supporting the onboarding and integration of new team members. Act as a point of contact for staff and external stakeholders, ensuring smooth communication and execution of organizational tasks.
  • Support leadership meetings by preparing materials, setting agendas, and tracking action items to ensure follow-through on organizational initiatives. Communicate meeting outcomes clearly and ensure that progress is monitored and aligned with the Federation’s goals.
  • Attend Executive Committee meetings with the CEO, ensure clear communication, prepare materials, track discussions, and follow up on action items.
  • Build strong relationships with key lay leaders, ensure their alignment with Federation’s priorities, and serve as a trusted point of contact to support collaboration.

  • Exceptional written and verbal communication skills with a keen ability to represent the CEO’s voice professionally and consistently.
  • Strong organizational skills and the ability to manage multiple high-priority tasks simultaneously.
  • Proactive in identifying challenges and providing efficient, practical solutions.
  • Ability to work cross-functionally, effectively engaging with different departments and external partners.
  • Maintain discretion and handle sensitive information with the highest level of confidentiality.
  • A high level of precision in scheduling, document management, and follow-up processes.

 

Qualifications:

  • Bachelor's degree preferred
  • 3-5 years of experience providing high-level support to senior leadership, demonstrating exceptional organizational and communication skills 
  • Desire to build a career within the Jewish communal sector
  • Proven experience supporting C-suite executives, ideally in a non-profit or similar fast-paced environment.
  • Strong project management skills with the ability to manage competing priorities.
  • Proficiency in office software and communication tools (e.g., Microsoft Office Suite, Google Workspace, project management tools).
  • Excellent organizational skills and the ability to work independently.
  • Ability to manage complex schedules, anticipate needs, and work well under pressure.
