StandWithUs is an international, nonprofit, and nonpartisan Israel education organization that works to inspire and educate people of all ages about Israel, as well as challenge misinformation and fight antisemitism. Founded in 2001 and headquartered in Los Angeles, StandWithUs has chapters and programs throughout the U.S., Israel, the UK, Canada, South Africa, Brazil, Australia, and the Netherlands. 

 

Summary 

Located in Boca Raton, Florida; partial remote work is possible following the successful completion of a trial period. Reporting directly to our Executive Director, the Executive Assistant will independently perform a wide range of complex and confidential administrative and clerical duties. This role requires excellent communication and interpersonal skills,plus the ability to provide information and service to a wide range of internal and external stakeholders. The candidate will be required to have knowledge of the organization and its policies and procedures. The Executive Assistant will be responsible for executive office management when needed.  

The duties span a wide range of complex office administration and support to the Executive Director, including, but not limited to, the following: 

 

Duties 

  • Administration of all StandWithUs Southeast office meetings and events (both in-person and virtual) and general office management 
  • Board and staff meeting administration, including Zoom set up, board member invites, creating agendas, recordingmeeting minutes, and an end-of-meeting summary  
  • Compose letters, reports, and Excel spreadsheets  
  • Collaborate with internal departments, including the graphics department, for marketing material and presentations  
  • Serves as principal contact and source of information for constituents, including external and internal partners 
  • Manage calendars, arrange meetings, appointments, and travel arrangements 
  • Direct support to the Executive Director for all event planning, including conferences and chapter events 
  • Purchase and maintain office supply inventory  

 

Experience 

  • Proficient in Microsoft Office, including Excel and Outlook, Blackbaud Raisers Edge, and Zoom applications  
  • College degree preferred 
  • 3+ years of related experience with proven office administration and customer service skills  
  • Proven interpersonal skills with experience providing administrative support in a high-profile environment with tact and diplomacy 
  • Knowledge of the local pro-Israel community a plus
