Hadar is seeking a full-time Executive Assistant to maximize the efficacy of the organization’s senior leadership. We are looking for a strategic organizational thinker who will bring energy and self-motivation to this role. The Administrative Assistant is a team player, intentional, and organized professional with strong attention to detail. We are looking for someone who can thoughtfully manage schedules, draft and respond to emails in a timely fashion, help to set and monitor deadlines, and communicate effectively between the senior management and the rest of the team, as well as external stakeholders and partners. The right candidate will see themselves as a part of the team, and is motivated by Hadar’s mission and values. This is a full-time position based in NYC.

Responsibilities

  • Support senior leadership to ensure their success 
  • Strategically manage calendar of top leadership to ensure maximal use of time both in and out of meetings
  • Schedule and ensure follow up for the responsibilities, appointments, and deadlines of the senior leadership
  • Track critical meetings both internally and externally, including clear next-step and execution plans
  • Maintain responsibility for effective communication of Leadership Team members, both internally and externally, including leveraging email inboxes and other ad hoc communication support as needed
  • Facilitate strong communication between Leadership Team and Hadar staff/faculty regularly to promote collaboration and transparency
  • Prepare written materials including drafting, editing, and proofreading
  • Organize travel arrangements for out-of-town speaking engagements or meetings
    • Booking tickets, print things needed, source sheets for speaking engagements...etc.
    • Submit reimbursements
  • Serve as support for Leadership Team in preparing materials for lectures and classes
    • Locate/organize source sheets - manage process to format and update logos
    • Manage process to make sure photocopies are produced and ready when needed
  • Maintain and input CRM data for the Leadership Team
  • Manage office for maximum efficiency (including supply purchases and coordination with custodial staff)
  • Serve as first point of contact for the organization by welcoming people into the space, answering the phone etc.
  • Additional tasks as required

Qualifications

  • Ability to thrive in a fast-paced and creative work environment
  • Self-starter who can take initiative and work independently 
  • Ability to bring good humor and positivity to teams 
  • Superb communication skills both for internal and external communications
  • Flexible work style with the ability to work under tight deadlines and with shifting priorities
  • Ability to manage and prioritize and follow through on a wide range of tasks
  • Strong writing, editing, and proofreading skills
  • Ability to handle sensitive material while maintaining confidentiality 
  • Proficient in Microsoft Office applications and Google suite
  • Proficiency in Hebrew a plus

SALARY

The salary range for this position is from $60,000 - $65,000.
