Position Summary:

The Operations & Grants Management Coordinator for the Planning Division is a part of the Operations and Grants Management team responsible for the financial and management processes and systems that support strategic planning and grant making at UJA-Federation of New York. This team works to ensure efficiency, streamlining, and standardization, where applicable, across the division, and liaises with the Accounting, Impact Performance and Assessment (IPAD), Information Technology Services, and Legal departments, as needed, to do so.

While each team member is assigned primary responsibilities and may liaise with a particular planning department, all are expected to do their work with the primary responsibilities of the team in mind, and an understanding of how all of the pieces make up the whole.

Primary Responsibilities of the Operations and Grants Management team:

Budget management for planning division, planning departments, and special and venture funds
Budget oversight of the Israel Office
Development of Community Planning and Agency Resources (CPAR) Appropriations process and templates
Development, streamlining, and standardization of grant and contract management processes
Monitoring and facilitation of technology needs
Continued development, management, and ongoing supervision of grants management system, UJANet, and Customer Relationship Management (CRM) systems
Development, oversight, and implementation of organizational and grant-related data collection, analysis, and reporting tools (in collaboration with IPAD)
Training and skill building for planning professionals, related to systems and operations
Training and skill building for UJA grant recipients

Primary Responsibilities of Operations Coordinator:

Review of all application and reporting budgets submitted by grantees
Oversight of the grants inbox, responsible for answering inquiries or forwarding to colleagues when appropriate
Coordination of midyear and final grants reporting process and communication to grantees
Coordination of meeting logistics for team
Assisting the Operations and Grants Management team in identifying opportunities for improved efficiency
Note taking, as needed
Special projects, as needed

Education and Experience:

Bachelor’s degree required
Minimum of two years of related experience
Outstanding computer skills, proficiency in Microsoft Office, including advanced spreadsheet and database use


Demonstrated ability to handle multiple priorities at the same time and maintain strong attention to detail
Outstanding organizational, verbal and written skills
Strong analytical skills and ability to identify and conceptualize trends and emerging issues
Ability to start and persist with specific courses of action while exhibiting high motivation and a sense of urgency
Can grasp important information in oral communications by actively listening, summarizing what has been said, and asking questions to clarify ambiguities
Can communicate with others in a warm and helpful manner while simultaneously building credibility and rapport
Ability to respond to requests for assistance in a timely and thorough manner
Team-orientation and ability to work well with others
Self-starter able to work independently
