Role Overview

The Operations Manager is responsible for a wide range of operational and logistical functions within North Carolina Hillel.  The position will serve as the first point of contact for the organization, greeting visitors, answering phone calls, and responding to general inquiries.  The Operations Manager will serve as the point person for the NC Hillel facilities, perform financial and payroll functions, handle supply requisition, and manage our student, alumni, and donor databases.

This position will report to the Managing Director. 

What You'll Do

Organizational Operations: 

  • Serve as the first point of contact for the organization. This includes answering email inquiries, answering phone calls, distributing voicemails to appropriate staff members, and greeting visitors to our spaces.
  • Maintain calendars and scheduling for organization-wide and staff-wide events; implement holiday calendars.
  • Oversee bulk ordering and division of shared supplies for the organization, including (but not limited to) office supplies, paper goods, cleaning supplies, and snacks/drinks. Maintain inventory and restock schedule.
  • Responsible for ordering, inventory, and restock of swag and promotional items.
  • Oversee organizational IT systems and office systems (Internet, computers, phones, and other software/hardware products)

Facilities Management: 

  • Responsible for general building upkeep of NC Hillel facilities, coordinating with the local campus staff. Ensure spaces are well maintained and in working order.
  • Oversee facilities repair work and routine maintenance; managing vendors of cleaning services, grounds care, inspections, fire sprinklers/suppression system, HVAC, water, and assorted seasonal upkeep.
  • Facilitate requests for outside groups to rent our facilities during non-programmatic time, including renting parking spots. Execute contracts, ensure appropriate staffing for rentals, and hire additional cleaning before and after events.

Financial Tasks: 

  • Perform assigned financial tasks, including managing accounts payable and credit card system, receipt acquisition, reporting, and accounts receivable. Serve as NC Hillel liaison with external bookkeeper and accountant, performing local financial responsibilities, uploading financial documents to the cloud, and collaborating to prepare monthly financial documents.
  • Administer bi-weekly payroll, including onboarding/offboarding employees in payroll system and process payroll submission.

Data Systems: 

  • Manage donor and alumni database entry and quality control. Ensure efficient, timely transfer or data from various systems to the database.
  • Manage NC Hillel website.
  • Support campus staff with student engagement database entry and reporting.
  • Manage gift acknowledgement letters and other donor relations correspondence

Miscellaneous: 

  • Provide staffing support at Hillel programs, including Statewide events, Shabbat and holiday gatherings on evenings and/or weekends as needed. Schedule to be determined in conjunction with supervisor.
  • Where applicable, provide administrative support to the Executive Director and Board of Directors.
  • Spend 25% of working hours from Hillel @ NC State monthly, and the remainder of time at UNC Chapel Hill Hillel.  Travel to other campuses or locations may be required infrequently
  • Attend additional NC Hillel functions as needed, such as board meetings, donor gatherings, or other events.  Schedule and needs to be determined with supervisor.

Experience and Qualifications

  • BA/BS degree or equivalent practical experience.
  • 2+ years of relevant experience in an administrative, operations, or office manager role.
  • Outstanding organizational skills; should enjoy developing systems, organizing documents, and implementing systematic workflows.
  • Exemplary time management skills, including the capacity to juggle competing priorities and deadlines, and to remain flexible within an ambiguous, fast-paced environment.
  • Excellent verbal and written communication skills.
  • Knowledge of essential computer software programs, including Quickbooks, Microsoft Word and Excel, and donor software (Little Green Light) and the agility and resourcefulness to learn new technologies.
  • Impeccable discretion and appreciation of confidentiality.
  • Ability to lift and carry 25 pounds.

What You’ll Receive:

This position is a full-time, non-exempt position.  The salary range is $48,000-$54,000, commensurate with experience and qualifications.  You will be eligible for a comprehensive benefits package, including health insurance, retirement contributions, life insurance, Long Term Disability (LTD), Flexible Spending Plan, generous vacation/sick time, and parental leave.
