Education Administrative Assistant

Position Description

The position reports directly to the Executive Director and works closely with other departments within the TBO team. All positions at TBO require individuals to be a strong multi-tasker, independent problem-solver who also works well under supervision.

 

Qualifications

  • Proficiency with Microsoft Office including Teams
  • Create, handle, and maintain complex calendars
  • Strong organizational skills and ability to multitask
  • High School Diploma or Equivalent. Associates or Bachelor's Degree preferred
  • 3+ years experience
  • Ability to anticipate needs, demonstrate good judgement and decision-making skills
  • Ability to maintain confidentiality
  • Communicate in English, both verbally and in written form
  • Communicate with people in a variety of positions with tact and professionalism
  • Exceptional people skills; enthusiasm, energy, and a positive demeanor
  • Must be able/willing to lift 50lbs

Some of the essential functions of the position include, but are not limited to:

 

Education Administration:

  • Support Religious School operations, including:
    • student registration and enrollment
    • coordinate the b’nai mitzvah program scheduling under direction
    • create and deliver school communications to existing families as well as outreach to potential students/congregants
    • submitting payroll to the Executive Director monthly
    • maintaining inventory of school supplies/materials
    • ordering supplies
    • on site support on Sundays during the school year
  • Support Adult Education operations including:
    • participant recruitment and registration
    • creation of Zoom as necessary and coordination of onsite staff/volunteer
    • submitting approved honoraria/expenses for payment
  • Point of contact for Religious School and Education queries
  • Coordinate B’nai Mitzvah program under the direction of the Director of Music and Community
    • Schedule B’nai Mitzvah appointments
    • Coordinate B’nai Mitzvah gifts

Community Programming Administration:

  • Support Community Programming operations, including:
    • Creating registration forms as needed
    • Assisting in the coordination of community events (Sukkot Fall Festival, Megillah Madness, Handmade Hanukkah Market)
    • Onsite staff for community events

Communications: 

  • Create and distribute weekly TBO newsletter
  • Create and distribute weekly ParentSquare posts
  • Create and post to TBO’s social media outlets

Set Ups:

  • Work with Office Manager to determine space needs and scheduling
  • Communicate with janitorial crew for room set ups

Other Responsibilities: 

  • Front desk duties: answer door, phone, interact with congregants
  • Maintain CRM including data hygiene, updating births and deaths, making contact changes
  • Process new member and renewal member applications as needed
  • Add new members to Verkada for access
  • Create registration forms for events as necessary

Time and Attendance:

  • 25 Hours Per Week
  • Attendance at other days/times will be necessary.
  • TBO is closed for most Federal Holidays, Jewish Holidays (Reform Custom), Christmas – New Years, and other dates to be determined.
  • TBO offers unlimited PTO, but time off is not accrued.

Flexible hours outside of Religious School hours (our Religious School currently meets on Sunday morning and Sunday evening), holiday programming, staff meetings, and select Board meetings.  This position will have some set office hours to provide for cross-departmental collaboration.

Compensation and Benefits

Compensation is based on the budget approved by the TBO Board of Trustees.
